The Role of the Committee

As a parent of a child at the school, you are automatically a member of the PTA association.  


The Friends of St. Peter's is a registered Charity therefore we must have an AGM each year to explain how the year has gone and give proposals for the coming year. The AGM is the public's official opportunity to ask us questions, although please remember that every meeting we have is open and everyone is welcome to attend.

 

 

We also elect a committee at our AGM. Our committee must consist of:

 

·                A Chair

·                A Secretary

·                A Treasurer

·                The Headteacher

·                The Parish Priest

·                A Teacher’s Representative

·                A minimum of two others

 

Roles and Responsibilities are outlined in more detail below. 

 

Any parent is welcome to attend any of our meetings and our minutes can be made available to those who wish to see them

Chair

 

Key responsibilities:

  • ·         provide leadership; ensure the Committee fulfils its role in respect of governance of the association
  • ·         set the agenda for meetings, liaising with the Secretary
  • ·         ensure the agenda is followed and that all business is covered
  • ·         call the meeting to order when it is time
  • ·         welcome and involve new members
  • ·         ask for apologies for absence
  • ·         approve minutes of the last meeting
  • ·         agree a date for the next meeting
  • ·         close the meeting
  • ·         oversee the organisation and running of fundraising events in line with the constitution and Health and Safety
  • ·         write the annual report, liaising with the Secretary
  • ·         sign cheques for the PTA with one other elected committee member
  • ·         get to know committee members

 

Vice- Chair

 

Key responsibilities:

  • ·         assist in providing leadership; ensure the Committee fulfils its role in respect of governance of the association
  • ·         assist in setting the agenda for meetings, liaising with the Chair & Secretary
  • ·         assist in the preparation & running of meetings and chair the meeting in the absence of the Chair as per the responsibilities laid out for the Chair.
  • ·         Contribute to writing the annual report, liaising with the Chair & Secretary
  • ·         Assist in overseeing the organisation and running of fundraising events in line with the constitution and Health and Safety
  •  

 

Secretary

Key responsibilities:

  • ·         Assist in dealing with correspondence
  • ·         prepare agendas set by the Chair
  • ·         call meetings - giving plenty of notice
  • ·         keep a record of attendance at meetings
  • ·         take notes during meetings
  • ·         ensure that enough committee members are present to make the meeting quorate (this number is defined in the constitution)
  • ·         write up the minutes of meetings
  • ·         distribute minutes to all the committee within a reasonable time frame to allow for actions to be executed
  • ·         co-sign cheques as required
  • ·         write the annual report with the Chair
  • ·         Assist in overseeing the organisation and running of fundraising events in line with the constitution and Health and Safety

 

Vice -Secretary

Key responsibilities:

  • ·         Assist in dealing with correspondence
  • ·         Assist in all duties held by Secretary as laid out above. 
  • ·         Act on the secretary’s behalf in their absence at meetings.
  • ·         Assist in overseeing the organisation and running of fundraising events in line with the constitution and Health and Safety

 

Treasurer

 

Key responsibilities:

  • ·         maintain accurate and detailed financial records
  • ·         present a financial report at each meeting
  • ·         liaise with the bank
  • ·         make approved payments
  • ·         consults with the bank or building society regarding the availability of higher rate interest accounts
  • ·         count and bank monies
  • ·         prepare and co-sign cheques as required
  • ·         provide and account for cash floats at events
  • ·         charity registration and Gift Aid
  • ·         pay agreed expenses
  • ·         prepare annual accounts and liaise with the independent examiner of accounts
  • ·         ensure the committee has agreed appropriate procedures for the handling of financial matters
  •  

Vice-Treasurer

 

Key responsibilities:

  • ·         assist in maintaining accurate and detailed financial records
  • ·         liaise with the bank
  • ·         make approved payments
  • ·         consults with the bank or building society regarding the availability of higher rate interest accounts
  • ·         count and bank monies
  • ·         prepare and co-sign cheques as required
  • ·         provide and account for cash floats at events

Trustees

Key responsibilities:

  • will attend meetings
  • will have voting rights on financial decisions in line with the constitution
  • will ensure good governance


Other Roles include: 


Promotion 


Key responsibilities:

  • Creation of materials to promote forthcoming fundraising events
  • Liaising with the School and the Secretary regarding appropriate distribution of promotional materials
  • Providing content to Chair and Secretary to feature on Friends Website and in Newsletters

 

Catering Lead - Sarah Kebell


Key responsibilities:

  • to oversee the provision of food and drink at specific events as necessary
  • to oversee the safe and hygienic preparation of food for events
  • to maintain and ensure best use of catering equipment
  • to liaise with the School regarding use of School Kitchens and leave kitchens in accordance with Chartwells requirements.
  • To liaise with volunteers in the organisation of food provision


Class Representative (need not attend meetings)


Key responsibilities:

  • Will establish and maintain a contact list for class parents/carers and circulate
  • May organise class events
  • May organise class gifts for special occasions
  • May assist in the organising of fundraising events
  • May help to promote events through class communication via email or word of mouth.
